Schedule “A”

HANDLING OF CASH AND DONATIONS

  1. Students are to be directed to leave all cash donations in the jar provided within the studio.
  2. Only once all students have left the studio is the Instructor to remove the collected donations from the jar and count the amount received.
  3. ALL instructors MUST complete the Sign In/Out sheet that is located in the main cupboard area immediately after each class. All of the required sections MUST be completed. If there are any changes, please note these on the sheet.
  4. Instructors are to record the total earnings received for EVERY class immediately upon class completion on the Sign In/Out in the space provided.
  5. Instructors are to leave all monies collected in the safe provided. No money is to be taken off the premises.
  6. Jessica Dewar, or a representative as nominated by Jessica Dewar, will collect all monies at the end of each day. No money will be left on the premises overnight.
  7. Instructors will be paid 30% of the total donations raised, paid fortnightly. The remaining 70% of donations raised will contribute to maintaining the studio expenses.
  8. Once fortnightly, Instructors will be notified by Jessica Dewar, (or a nominated representative managing accounts), of the total donations raised for their classes. Instructors will be required to submit an invoice to Jessica Dewar Yoga for 30% of the total amount.
  9. Invoices are to be submitted via email only (no hard copies) and are to be emailed to hello@jessicadewaryoga.com no later than 12.00pm Saturday every second Saturday.
  10. Aside from the instructor’s standard contact/payment details, invoices must include the type, duration and date of each class being invoiced. Failure to provide these details and complete the sign in/out sheet will result in your payment being withheld. No exceptions.
  11. As this is an honesty system if there is any indication that a the Instructor is not declaring all donations received that instructor’s Agreement will be terminated immediately.

 

OPENING AND CLOSING CLASSES 

All instructors:

  1. MUST introduce themselves
  2. MUST welcome all skill levels (absolute beginners to advanced)
  3. MUST provide students with an outline of class structure (warm-up, class specifics, relaxation etc.)
  4. MUST demonstrate options students can use when they need to relax or slow down during the class
  5. MUST welcome any questions before/after the class
  6. MUST ask if any students are managing injuries and action this appropriately
  7. MUST allow time to assist/correct students with their technique
  8. MUST conclude the class with a Savasana (relaxation) practice, whereby students are asked to lay with their feet facing away from the front wall.

At the close of every class, instructors:

  1. MUST thank students in advance for their contributions/donations to maintaining the studio.
  2. Direct students to leave their donations in the jar provided,
  3. Explain to students there is a notice placed next to the donations jar which explains how their contributions are assisting to maintaining the studio.

COVERS FOR CLASSES

  1. It is the responsibility for all instructors to arrange their own covers for classes at least 48 hours prior to the scheduled class commencing.
  2. All covers need to be confirmed with Jessica Dewar prior to the class.
  3. All covers must be a certified Yoga Instructor and insured for minimum $10 million Public Liability and have Professional Indemnity Insurance. This information is to be emailed directly to Jessica Dewar at: hello@jessicadewaryoga.com within 24 hours of the class.
  4. All covers must be provided with a Welcome Letter, which the instructor to pass on to the cover. This briefly outlines some of the standard requirements they must meet as a class cover for our studio.
  5. It is the regular instructors responsibility to ensure the cover has all of the appropriate information to be able to successfully run a class; i.e. knows where to Sign In/Out, where to leave donations collected, how to register a new student, how to access the building etc.

TARGETS AND PERFORMANCE REVIEWS

A performance appraisal will be completed with Jessica Dewar at the end of the initial six (6) week period from date of commencement.

If Jessica Dewar Yoga does not terminate the Contractors Agreement within the initial six (6) week period from date of commencement, the Instructor will continue to perform tasks in accordance with the Contractors Agreement.

Instructor performance will be reviewed monthly following the initial review to ensure targets are being achieved.

LATE COMERS POLICY:

 

Whilst I can appreciate it can be hard to turn people away it is important that under no circumstance you allow late students to enter the studio. This is for two very important reasons:

1) Out of respect for the students who have made the effort to prepare and arrive at the studio on time. Should we begin to allow latecomers entry then tardiness will become part of our culture which is absolutely not acceptable.

2) For the safety of the person who is late. If the latecomers begin practicing without their warm up, then we run the risk of a student being injured during the practice.

If a student is late in future, I have found just going to the top of the stairs are pointing at my watch with a gentle shake of the head, to imply “No”, is enough. If you need to open the door (for the persistent ones), then tell them class has started and they're unable to attend for the reasons aforementioned. Be firm and ask them to refer to the online timetable to check the next classes available.

EFTPOS DONATIONS

Q: Do we continue to use Square to process EFTPOS payments?

A: We are no longer using Square. ALL transactions are now done through MBO. Students can make EFTPOS donations from $10 upward. Anything less we will not accept.
To process payment,  go through the same reconciliation process at the end of class (see Facebook post by Owen 09/03/17) but select one of the dollar options available ($10, $20, $25 etc). Use the swiper connected to the iPad. This is sensitive to movement. If you have trouble with the swiper connection, the card number can be manually keyed in.

STUDENT CHECK-IN

Q: Can we use the Check-In App on the iPad?

A: No, please use only the Express App.

Q: I cannot see the Donation - Free option when trying to reconcile a students account. Why is this?

A: If ever you are trying to reconcile an account but you cannot see the FREE option, then it means there are other classes (that have not been reconciled) that are also ticked. To stop this ensure just the class for the day is ticked (not any other class). We only reconcile one class at a time.

Q. Do I need to reconcile student accounts who have a current Class Pass or Membership?

A. No. Only students with the red tag saying 'Unpaid Classes' under their name need to be reconciled.

Q: A student could not log into their account. Why is this?

A: It is likely the student has created a second account with the same email. This will lock the student out of all accounts. Please notify management of the student who is having this trouble to merge both accounts into one.

CLASS PASSES & UNLIMITED MONTHLY MEMBERSHIPS

Q: How can I see how many sessions a teacher has remaining in their Class Pass Pack or Unlimited Membership?

A: The type of Membership / Class Pass package purchased will display underneath the name of the student in the list of registered students for the class. Should the student's Membership / Class Pass package have expired or been used then the student will revert back to being a regular student with "Unpaid Classes" listed under their name.

It is important students who are coming to the end of their Membership / Class Pass package are notified of this to ensure they can sign up for another package. If students are not notified of this then teachers run the risk of not being paid for that students attendance in class as in some cases they may be unaware of the number of passes left and unknowingly not paying for their classes.

TEACHER COMMISSIONS

Q: How are teacher commissions calculated for 10 Class Pass Packages and Unlimited Memberships?

A: 10 Class Passes: Fees allocated to teachers from class passes are all paid at the Basic Class Pass rate, regardless of the membership level. Unlimited Memberships: Fees allocated to teachers from memberships are all paid at a flat fee of $2.40 per class.
